Recording apprenticeships in ESR

The latest update to Electronic Staff Record (ESR) enables detailed apprenticeship information to be recorded alongside other employment information.

This enhancement has been implemented following the removal of England’s National Apprenticeship Monitoring (NAM) system in April 2018. Therefore, it should be used as the main method to record apprenticeship details going forward. 

A new extra information type (EIT) form has been created at assignment level that allows organisations to record key information in relation to apprentices. This includes the apprenticeship level and standard, start and end dates, and the main training provider. All of these data items will be reportable through ESR Business Intelligence.


  • Reporting the numbers of apprentices, both new to post and those in their existing posts.
  • Linking data to further workforce information, for example: equality characteristics, salary information, reason for leaving, and future career (ie progression following completion of apprenticeship).

The system will also provide data to meet the statutory reporting requirements such as the number of apprentices as a proportion of your overall trust headcount.

Next steps

Organisations are strongly encouraged to use the new form to record details for all current and future apprenticeships.

Organisations also have the ability to record historical apprenticeship information should they choose, however, it should be noted that the list of values are based on current framework/standards and end point assessment centres.
